Submitting a digital signage request

How to submit a request for new digital signage content

Submit your request to Internal Communications with the subject line Request to Publish Digital Signage Content.  Requests should be submitted a minimum 10 working days in advance to ensure that your content can be scheduled.

Please include a Start and End Date,  this is required  to publish your content.

University news and events will be given priority. All additional requests will be considered on a case-by-case basis.

Include in the message body your name, faculty or directorate and the start/end dates and screen locations you would like the content to appear.

Submissions 

You may submit images or videos to be displayed. Images will be displayed for up to 10 seconds at a time.

Appropriate length of video will vary by location, purpose and demand, suggested maximum length is 30 seconds but will be reviewed on a case by case basis.

Please note, audio is not available from our signage displays.

Digital signage content is by default updated on a weekly basis or as required.

  • Please note that university holidays will affect response times.
  • Messages may be denied and returned due to copyright infringements, image distortion, and grammar/spelling errors.
  • Content that violates Digital Signage Guidelines or does not meet the minimum Digital Signage content requirements will not be published.
  • Content not adhering to guidelines will be returned with an explanation. Please allow ample time to complete any revisions for resubmission.
  • Appeals or disagreements regarding the suitability of content will be referred for arbitration by the Director of Communications and Recruitment and/or the Chief Operating Officer.
  • By default, signage will be removed at midnight on the end date specified.

Exceptional Circumstances

There may be times when access to the digital signage system is required for an event or content that falls outside of these guidelines e.g. a special event outside the normal operating hours of the university. These requests will be reviewed on a case by case basis for approval and publication. Content must meet university acceptable requirements.

ILS under supervision reserve the right to broadcast content to any and all screens under certain emergency circumstances.
