Sharing student data

We work with certain bodies and may share information with them as they require it for statutory purposes or where their service is of benefit to you.

At present the following initiatives involve sharing some of your data.

Students' Union

When you register, the following information is shared with the Students' Union to enable automatic membership:

  • First and last name
  • Date of birth
  • Gender
  • University and personal email
  • Mobile telephone number
  • User ID
  • Fee Assessment
  • Course, year and mode of study
  • Faculty and site/campus

Greenwich Bursary

An initiative with John Smith provides a bursary for new students to use towards study resources. All eligible students receive scholarship funds loaded on to an account to use in John Smith's bookshop (or online) to purchase textbooks and other materials.

Çï¿ûÊÓƵ surveys

We conduct a range of voluntary surveys to help us improve the experience for current and future students. The university may attach information that it holds about students to survey responses (including, but not limited to, gender, age, domicile, fee status, ethnicity, disability, information about the programme of study). This enables us to analyse the results with full context without needing to ask for it in the questionnaire.

In some cases, this information is shared with bodies we collaborate with, such as , and . Some surveys are carried out by a contractor on behalf of the university.

The results from surveys will be presented in a summary form so that no individual respondent can be identified. By taking part in voluntary surveys, students agree to their data being used in this way.

National Student Survey (NSS)

The National Student Survey collects data from final-year undergraduates on their experience of a range of study-related issues. This is a statutory requirement of the Office for Students (OfS) and is conducted by a fieldwork agency contracted by OfS. The results are submitted to OfS and the Higher Education Statistics Agency (HESA).

To administer the survey, the university and HESA share information about the student with the fieldwork agency, including contact details and a student identifier for linking responses to information about the student held by HESA. The results from surveys are presented in a summary form so that no individual respondent can be identified.

As this survey is a statutory requirement, you cannot opt out from having your details provided to the fieldwork agency. However, you can opt out of taking part in the survey when contacted.

Graduate Outcomes

The Graduate Outcomes survey collects information on what higher education graduates are doing (employed, further study, etc). You will be contacted about 15 months after leaving.

This is a statutory requirement of the Office for Students (OfS). The Higher Education Statistics Agency (HESA) provides the materials of the survey and manages the collection of the results through a fieldwork contractor. The results from surveys are presented in a summary form so that no individual respondent can be identified.

To administer the survey, the university and HESA share information about the student with the fieldwork agency, including contact details and a student identifier for linking responses to information about the student held by HESA. The results are shared with OfS and the university. This information helps us to improve the employment prospects for our current and future students and advise them about opportunities that might be available to them.

Your data will also be used by OfS to produce the national performance indicator on student employability and be used for other statutory functions. More details on the use of the survey results can be found on the

As this survey is a statutory requirement, you cannot opt out from having your details provided to the fieldwork agency. However, you can opt out of taking part in the survey when contacted.

Transport for London (TfL)

Çï¿ûÊÓƵ subscribes to and is registered with the provided by Transport for London (TfL). This scheme allows eligible students to apply for an 18+ Student Oyster photocard to save on adult-rate Travelcards and Bus & Tram Pass season tickets.

You apply to this scheme by creating an online account at TfL, where you provide personal information such as name, address, date of birth, email and phone number. When you apply for the 18+ Student Oyster photocard, you will need to provide additional information such as your student ID number, institution, and a digital photo.

We are then required to confirm you match the eligibility criteria defined by the TfL before the photocard is dispatched. We assess this using your individual student record as it stands at the time the application is assessed. We attempt to correct basic errors where appropriate, but the university is not responsible for errors made by applicants and any subsequent rejection or shortfall in duration of the card's expiry date. Çï¿ûÊÓƵ automatically rejects applications for students studying at a partner or network college.

As an institution, we are required to conduct two audits of applications per academic year (Autumn and Spring) and confirm continued eligibility to the scheme. Students who no longer meet the criteria due to, for example, a change in mode of study (i.e. to part-time) or interruption of studies will have access removed. Information is shared only when a Çï¿ûÊÓƵ student applies to the scheme.
